Letter of Credit Document Checklist for Container House Orders
Quick answer

A typical L/C for a container house shipment calls for a commercial invoice, packing list, full set of clean on-board bill of lading, certificate of origin, and sometimes an inspection certificate, insurance policy and beneficiary certificate. Every field must match the credit exactly: names, quantities, description, ports and dates. Draft all documents before loading and have the bank pre-check them.

A documentary credit is a set of exact requirements. Preparing to them is a process, not a final scramble.

Documents usually required

DocumentWatch point
Commercial invoiceDescription must mirror the credit wording; Incoterm stated; HS code consistent
Packing listQuantities and weights consistent with the invoice
Bill of ladingFull set, clean, on board, consignee and notify party exactly as stated
Certificate of originIssued and attested as required
Insurance policyCover level and currency stated in the credit
Inspection certificateIssuer must be the party named in the credit
Beneficiary certificateOnly sign if you can genuinely certify the listed facts

The ten discrepancies that cause rejections

  1. Late shipment beyond the latest shipment date.
  2. Presentation after the expiry date or beyond the presentation period.
  3. Invoice description differing from the credit.
  4. Port names not matching the credit.
  5. Partial shipment when the credit prohibits it.
  6. Transhipment when prohibited and not covered by the B/L wording.
  7. Insurance cover below the required percentage.
  8. Missing signature or stamp where required.
  9. Incorrect consignee or notify party.
  10. Amount exceeding the credit value or drawn in the wrong currency.

A workable process

At order stage, ask the buyer for the draft credit text and check it against what you can actually produce: shipment date, port of loading, document issuer. After production, prepare drafts of every document, send them to the bank for pre-check, correct them, and only then load. Keep the packing list and invoice consistent with the loading photos.

FAQ

What is the most common discrepancy?
A difference between the goods description in the credit and in the invoice, or a late shipment date. Both are avoidable if the draft documents are checked before the vessel sails.
Can I ship with a discrepancy?
Yes, but the bank may refuse or the buyer must accept the discrepancy, usually with a fee and a delay in payment. It converts a documentary credit into a negotiation.
Who checks the documents?
The nominated bank checks against the credit terms. Ask your bank for a pre-check of draft documents; most will do it as part of the service.
